3.Refund & Make-Up Class Policy
To ensure consistency and fairness across all programmes, the following Refund and Make-Up Class Policy applies to all player registrations.
1. Refund Policy
- All registration and programme fees are non-refundable once registration and payment have been completed.
- Refunds will only be considered where an error has occurred on the company’s side, such as an incorrect charge, duplicate payment or administrative error.
- Any refund request relating to a company error must be escalated to Senior Management for review and approval. Coaches, administrators and other staff members are not authorised to approve or issue refunds independently.
- A player choosing not to attend, withdrawing from a programme, missing classes, changing their schedule or being unavailable for personal reasons does not qualify for a refund.
2. Make-Up Class Allowance
- Each registered player is entitled to a maximum of three (3) make-up classes per registered class, per term.
- For example, a player registered for one weekly class during a term may receive up to three make-up classes for eligible missed sessions during that term.
- Where a player is registered for more than one weekly class, the make-up allowance applies separatelyto each registered class.
- Eligible make-up classes may be used at any point during the current season, but must be used before the season ends.
3.Notice of Absence
- To qualify for a make-up class, parents/guardians should notify the programme team of the player’s absence at least 12 hours before the scheduled class.
- Absences reported after this period, including no-shows without prior notification, will not normally qualify for a make-up class.
- Exceptions may be considered in genuine or exceptional circumstances at the discretion of the programme management team.
4.Booking a Make-Up Class
A registered player may request to attend an alternative class on another day, time or location.
The requested class must:
- Be appropriate for the player’s age and/or ability level.
- Have sufficient capacity to accommodate an additional player.
- Be approved in advance by the relevant coach or programme team
Make-up classes are subject to availability and are not guaranteed. Players should not attend an alternative class without receiving prior approval.
5. Company-Cancelled Classes
If a scheduled class is cancelled directly by the company, the affected session will not count towardsthe player’s three make-up class allowance.
Where appropriate, the company will aim to provide an alternative arrangement, which may include:
- A replacement session;
- Attendance at another suitable class; or
- Another appropriate solution determined by the programme management team.
Any financial refund resulting from a company cancellation remains subject to Senior Management approval.
6. Weather & External Cancellations
- Classes may occasionally be cancelled or suspended due to circumstances outside the company’s reasonable control, including severe weather, venue closures, government restrictions, safety concerns or other unforeseen circumstances.
- Where possible, the company will aim to provide an alternative or replacement session.
- However, cancellations caused by circumstances outside the company’s control do not automatically entitle the player to a refund.
- Any alternative arrangements will be communicated by the programme team based on the circumstances of the cancellation.
7. Make-Up Classes Have No Monetary Value
Make-up classes are provided as an opportunity to replace an eligible missed session. They do not represent a financial credit or monetary balance on a player’s account.
Unused make-up classes:
- Cannot be deducted from future invoices or registration fees.
- Cannot be exchanged for cash or refunded.
- Cannot be transferred to another player.
- Cannot be carried forward into the following season.
8. Expiry of Make-Up Classes
- All make-up classes must be used before the end of the current season.
- Although the allowance is calculated separately for each term, eligible unused make-up classes may be taken later within the same season.
- For example, an unused make-up class earned during Term 1 may be used during Term 2 or Term 3 of the same season, subject to availability.
- At the end of the season, all unused make-up class entitlements automatically expire. They cannot be transferred, credited or carried forward into the next season.
